NTERA Incorporated is seeking a highly skilled and self-motivated Administrative Assistant to be located in our Austin, Texas, office.

This position will be part of a team that produces professional technical reports and proposals. The individual hired will bring expert word processing and document formatting as well as document production and organizational capabilities to a collaborative environment that allows them to share their strengths and build new proficiencies. This position will also support the Contracts Manager in maintaining contract files and ensuring completeness. Included in the responsibilities is the necessity to back up for the receptionist by answering phones, ordering supplies, maintaining the office, or other tasks as needed.
Duties & Responsibilities:
Provide word processing and document formatting for technical reports, business communications, RFPs (proposals), RFQs (qualifications), or other marketing projects
Collaborate with technical personnel and marketing team to ensure documents are accurate, visually engaging, and highly compelling
Assist with final production including formatting, reviewing, and assembling documents
Assist with other technical or marketing activities as needed
Assist Contracts Manager in maintaining project-related records, including contracts, change orders, and certificates of insurance
Back up for receptionist — answer phones, order supplies, maintain office, respond to facility needs, etc. as needed
Required Experience - Education and Skills:
Minimum high school diploma
3-5 years of experience, preferably in the consulting field
Superior communication and organizational skills
Advanced proficiency in Microsoft Word
Proficiency in Microsoft Office Suite, Outlook, Excel, PowerPoint, etc
Ability to multitask and meet challenging deadlines
Self-directed and able to complete projects with limited supervision
Samples of prior work to demonstrate experience
