Business Procedures

Helpful Info 

  • Auditors

    Auditors may be allowed to attend class at the instructor's discretion. Please ensure they complete the Class Auditor Permit Form, found on the Auditing Classes page on the Registrar's website. 

  • Copy/Print Requests

    If you need assistance with print or copy jobs, email our student workers at fritinfo@austin.utexas.edu. Please allow a minimum of two business days as notice before any print or copy job. While we aim to print expediently, we cannot guarantee delivery in under two business days due to limited staff availability.

    Please also note that by “print or copy job,” we refer only to printing or copying that is necessary for instructional purposes or that will serve the department in an official capacity. For example, readings for your students, exams, promotional materials for department events, etc. For any other printing needs, you should plan on using your computer that is connected to the FRIT printer.

    You can access the mail and copy room (2.114B) with the printer at any time with your key(s); the supply/student worker room (2.114A) is limited to business hours.

    You should able to connect your computer to the printer by contacting LAITS at Computer Support or by visiting them in person (Parlin 106; 8am-5pm). Our printer is named: LAITS-FRIT-Main-HRH2114B-COLOR (LPD) and is located in HRH 2.114B. If you are having issues with this process, please contact the Admin Associate for support.

  • Promotion and Tenure

    Consult the Provost's website for guidelines on promotion for tenured/tenure-track faculty as well as professional track faculty. These guidelines are updated annually each spring.

  • Peer Teaching Report Guidelines

    Faculty at the rank of Assistant or Associate (both professional track and tenured/tenure-track) should be observed at least once per academic year to provide a broad range of teaching reports for the promotion dossier. Full Professors should be observed once every other year. Per the Provost Guidelines on peer observations, the observation report should consist of two or more visits to the class under observation, as well as a follow-up meeting with the instructor. See the template and guidelines for additional details.

    Use the guidelines from the Provost's Office when planning and writing a peer teaching observation report. Contact the FRIT Department Manager with requests for supplementary materials related to the observation (course evaluations, past reports, etc.). Use the following template Word document to prepare your observation report. Completed reports should be emailed to the department manager and the faculty member who was the subject of the report. Contact the department manager if you need assistance setting up the file for a Docusign signature.

  • Faculty Sick Leave

    Policies

    Report of Faculty Sick Leave

    Faculty members at institutions of higher education are responsible for submitting all sick leave taken when an absence occurs during the normal workday for regular employees, even when no classes are missed.

    Eligible faculty will electronically report in Workday any leave that is taken. Additionally, Workday has the ability to allow certain security roles to initiate leave taken on behalf of a faculty member.

    Questions about sick leave reporting should be directed to Academic Personnel Services at evpp-aps@utexas.edu or 512-232-4590 in the Office of the Executive Vice President and Provost.

     The university policy states: "A faculty member who must be absent from duty because of illness should notify his or her department Chair/dean or cause him or her to be notified of this fact at the earliest practicable time." You may request a staff member convey this information to the Chair or contact the Chair directly. Please read the policy statement as "absent from duty" has a broader meaning than missing classes or office hours. We will not prepare forms for faculty who have no reported sick leave.

    Family Medical Leave
    A detailed description of this valuable benefit can be found on the University's HR website. Staff will initiate the process by contacting HR when they are aware of faculty cases that might qualify for FML and HR will send the necessary information to the individual, however, it is the individual's responsibility to follow through with HR. You may also contact HR directly without staff participation. Instructions and forms are found here. FML is governed by a complex set of rules, therefore HR contacts are your best resource. Again, whenever staff are aware of a possible need, we will inform HR so that their FML experts can contact you.  Click here for additional information.

  • Posters and Digital Flyers

    Please email fritinfo@austin.utexas.edu for all promotional needs. Most posters, brochures, and other items can be created and published in-house, but bulk printings may be scheduled through University Printing, for a fee. Please give adequate time for design, revision, and printing.

  • Production Release Form

    For use of and and all photographs, video images, recordings of my voice, extractions, and moving pictures of faculty, staff, students, and visitors, a Production Release Form must be signed and filed with the Department. This includes social media publication. Please see administrative staff for further details.

  • Profile Page (Sandbox)

    Faculty and graduate students can update your profile on our site. You have the option to add contact information, interests, biography, and on the right sidebar, your curriculum vitae, profile pages and external links. Instructions can be found here

    If you want to update your profile image submit a photo to the LAITS online form, found here.
