Employer Eligibility

We welcome career fair registration by companies and organizations hiring for their own HR needs and offering professional, career-oriented and/or advocacy-oriented job and/or internship opportunities that meet our recruiting guidelines. Employers offering part-time, retail, seasonal and summer camp employment are not eligible to participate in our career fairs; however, these opportunities may be eligible for posting on the University’s Hire-a-Longhorn job board. Third-party recruiting/staffing firms are not eligible to participate in our fairs when recruiting for clients.


How To Register

Please register for the fair through your BTT Gateway account with a few easy steps:

1.  Log in to BTT Gateway. If you do not already have an account, please set one up on the BTT Gateway homepage.

2.  From your BTT Gateway account, select the event under "attend events" from the top right navigation bar.

3.  Click [Registration] in the "Fall 2019 Career & Internship Fair" section.

Fall 2019 Career Fair Fees

Your registration includes an 8' booth with a 6' table, garage parking for two cars, lunch for up to four recruiters and wi-fi access. Payment may be made by check or credit card - details available in your event invoice. Explore our payment and refund policies below.

Early Bird Rate (Payments made on/before August 7, 2019)

  • For Profit - $400
  • Nonprofit & Government - $250

Regular Rate (Payments made on/after August 8, 2019)

  • For Profit - $475
  • Nonprofit & Government - $275

Career Fair Policies

Thank you for your interest in attending our career fair! This page contains information on our event policies and registration, which will help expedite your registration process.

Registration Submission

  • Registration submissions are reviewed in the order received. This process can take several business days, and LACS will contact the organization once the registration is reviewed. All registrations are pending until confirmed by LACS.
  • If more information is required from the registrant before the registration can be confirmed, the registration submission is considered incomplete. During this time, complete registration submissions will be given priority over the incomplete registration submission.
  • Invoices are sent once a registration is confirmed by LACS. Pending registrants are unable to access an invoice. Please note that pending registrations must be cleared by the early bird deadline to receive the early bird rate.
  • The early bird registration rate is only available for those organizations whose registration is complete and approved and who make the payment prior to the early bird deadline.

Waitlist

  • Registrations for the fair are open until filled. Organizations wishing to join the waitlist may do so by contacting the recruiting team at recruit@austin.utexas.edu.
  • The waitlist is managed on a first-come, first-served basis in order of received requests.

Payments

  • Early bird rate payments are due in full 30 days from the invoice date or on or before the early bird deadline, whichever comes first. Once the early bird deadline passes, unpaid registrations within the 30 day deadline period will be charged the regular rate and a new invoice will be provided. State and federal agencies that are prohibited from paying prior to the event can lock-in the early bird rate by providing a PO Number prior to the early bird deadline.
  • Regular rate payments are due in full 30 days from the invoice date. LACS will also accept a purchase order for state and federal agencies.
  • Any confirmed registrants who have not submitted payment by the deadline will be moved to a pending status and their space will be released to new employer and/or waitlisted employer registrant.

Refunds & Cancellations

  • Registrations cancelled on or before September 4, 2019 are eligible to receive a full refund or to have the payment attributed to a future career fair. A written cancellation request via email must be received at recruit@austin.utexas.edu on or before September 4, 2019 to receive a refund.
  • Registrations that have been fully paid and cancelled on or after September 5, 2019 are fully non-refundable. Unpaid registrations cancelled on or after September 5, 2019 are responsible for payment in full within 30 days of the invoice date. Please note: Registrations with outstanding balances past 30 days of the registration confirmation will have their BTT Gateway account deactivated until the balance is paid in full.

Tips to Expedite Registration Confirmation Process

  • Have you posted only career fair-eligible positions? Only full-time jobs and internships are eligible for recruiting at the fair. Please do not attach part-time job or volunteer opportunities to your registration submission, as these are not eligible for recruiting at the fair and will delay the confirmation process.
  • Has LACS requested more information from you before confirming your registration submission? If more information is required from the registrant before the registration can be confirmed, the registration submission is considered incomplete. During this time, complete registration submissions will be given priority for spaces over the incomplete registration submission.

Frequently Asked Questions

Registration

Is there a registration deadline?
Our registration system is open as long as space remains available. Booths are confirmed based on a completed and approved registration.

What is a complete and approved registration?
In order to confirm a booth, your registration must include a linked job that has been approved based on our recruiting policies and payment must be received.

What is included in my registration?
Your registration includes a booth, parking for two cars and lunch for up to four recruiters.

Can I bring more than four recruiters to the fair?
Organizations wishing to bring more than four recruiters to the fair should register for multiple booth spaces. To coordinate this reservation, contact the recruiting team at the time of registration (512-471-7900). Registration for a single booth covers parking for two cars and lunch for up to four recruiters.

What is the size of my booth and what does it include?
You will have a standard 8’ x 8’ booth, including a sign with your organization’s name, a 6’ table, 2 chairs and a wastebasket.

My organization does not yet know which positions we will have open at the time of the fair. How should we submit a job posting so that our registration can be considered complete?
Each organization must submit at least one full-time job or internship opportunity in order to have their registration submission considered complete. More postings may be added closer to the fair. Our recruiting team will reach out for this information roughly three weeks before the fair. You may also submit a posting with a future “Post Date,” so that the position will not be visible to students until that date.

My organization has a part-time job opening. Can we recruit for this position at the fair?
No, only full-time jobs and internships are eligible for recruiting at the fair.

I just entered a registration submission, but I did not see or receive an invoice. How can I get one?
Invoices are issued only after a registration submission is confirmed by LACS. The invoice is emailed to the listed contact at that time. Confirmed registrants can also view the invoice from their registration page in BTT Gateway.

Do you accept Discover?
We do not accept Discover. You may pay by check, Visa, MasterCard, or American Express.

I registered before the Early-Bird deadline but am not able to submit my payment until after the Early-Bird deadline. Will I owe the fee for the regular rate?
Yes, the early bird rate is only for payments received by the early bird deadline. The only exception is for state and federal agencies that are prohibited from paying prior to the event.

Can I ship my materials in advance?
Once your registration is approved, you will receive a shipping kit with the details needed for package handling.  

Event

When and where will the event take place?
The career fair will take place on Wednesday, October 2, 2019 from 11am - 3pm in the Texas Union Ballroom on the UT Austin campus. Explore the map here.

Recruiters should park in the San Antonio Garage, 2420 San Antonio Street. Explore the map here.

How far is the Texas Union from the garage?
The San Antonio Garage is the closest UT garage to the Texas Union. The walk is two blocks to the Texas Union. Explore the map here.

Where should I ask my taxi driver to drop me off?
Please ask your taxi driver to drop you off at the Texas Union, adjacent to the UT Guard Booth at 24th Street and Whitis Avenue. The Texas Union will be on your right if you are facing the Guard Booth.

What time should I arrive?
Event check-in and set-up is open from 9:30 am to 11:00 am in the Texas Union Ballroom. During this time we will provide coffee and tea.

Is there a drop-off zone for my materials?
Recruiters are invited to drop off packages 30 lbs and smaller at the Texas Union prior to parking. The drop-off zone is located outside the Texas Union along 24th Street, east of Guadalupe Street. Drop-off will be open 9:30am – 10:45am. Explore the map here.

Will lunch be served?
Lunch will be available in the Santa Rita Room from 11:30 am - 1:30 pm. The Santa Rita Room is down the hall from the Ballroom. Our Tex-Mex lunch service offers fajitas (including vegetarian fajitas) and sides.

How many students typically attend the fair?
500-650 students typically attend the career fair.

Students with what majors typically attend the fair?
The career fair is open to students of all majors as well as to the community. A majority of our attendees are typically UT Austin Liberal Arts majors.

Post-Event

Can I reserve interview space after the fair to meet with candidates?
