The Austin Film Festival furthers the art and craft of filmmaking by inspiring and championing the work of screenwriters, filmmakers, and all artists who use the language of film to tell a story. OVERALL JOB DESCRIPTION: Maintain and manage all registration information, including AFF FileMaker Pro database, (which includes all Festival orders) and physical check-in materials during and before the Festival. Provide regular reports and data analysis for marketing purposes. Perform a series of quality control audits leading up to and execution of on-site Registration during the Festival. Thorough analysis of Registration data upon completion of the Festival. 


The responsibilities of the Registration Director include but are not limited to: 

Manipulating and maintaining the Registration database (FileMaker Pro) 
Registering each attendee in the AFF database (Early Registration and Walk-Up Registration included) 
Applying Memberships 
Inputting extracurricular orders, (Merchandise, summer classes etc.) 
Maintaining and troubleshooting daily accounting, as well as daily processing of credit cards charges/ checks 
Organizing, project managing and designing, where applicable registrant materials including: 
Pass/ Badges, packets, party invites, lists of registrants, registrant forms, etc. 
Managing a team of registration interns and volunteers prior to and during the festival 
Performing quality control audits to ensure accuracy, completeness, and proper usage of data 
Preparing and managing on-site Registration in the Victorian Room at the Driskill Hotel 
Reviews database design and integration of systems 
Working with Microsoft Office (Outlook, Word, and Excel), FileMaker Pro, and QuickBooks to produce reports and complete audits. 
Creating weekly status reports and attending weekly staff meetings 
Adhering to and completing a predetermined timeline 
Providing exemplary customer service via phone, email and in person. 
Completing post-festival clean-up/recaps including sales and attendance reports, database information updating, taking inventory of unused supplies, documenting no shows and rollover registrations, etc.

*REQUIRED: MUST have intermediate knowledge of database programs and general knowledge of software environments (particularly FileMaker, Access, Excel, Word) 
Strong understanding of and experience with database management and manipulation. 
Excellent troubleshooting/problem-solving skills and patience with customers. 
Excellent oral and written communication skills, as well as interpersonal skills 
Extensive customer service experience 
Self motivated with a drive to completion. Ability to self monitor and work independently. 
Familiarity with online payment systems and how to integrate into a database system 
Strong ability to prioritize and delegate in high stress situations. 
Basic understanding of accounting processes, knowledge of QuickBooks preferred 
Basic knowledge of Photoshop preferred 
Ability to develop and lead a team
